SuiteMigration, Inc. (“SuiteMigration,” “we,” “us,” or “our”) provides software that helps NetSuite implementation partners and their clients move and transform data between business systems (the “Services”). This Privacy Policy describes how we collect, use, and protect information when you use our website or the Services.
We’re a software company, not a data company — we make money by selling access to our Software, not by mining, selling, or otherwise monetizing your data. This Policy is written to reflect that. In short: you own your data, we don’t sell it, we don’t use it to train AI models, and we don’t use it for anything beyond providing you the Services.

1. Information We Collect
Information You Provide
When you use our website or Services, you may give us information such as:
- Name, email address, phone number (optional), job title, and company
- Account credentials
- Billing information, processed by Stripe (we do not store full payment card numbers)
- Information submitted through a form on our website — for example, our contact, partner inquiry, or Migration Readiness Audit forms. These forms are routed directly to our email and our CRM, Salesforce, so we can respond to your inquiry.
Information Collected Automatically
When you visit our website or use our Services, we automatically collect limited technical information, such as IP address, browser type, device information, and pages visited. We use this only to operate, secure, and improve our Services. See “Cookies and Analytics” below.
Session Recordings. If you are an Authorized User of the Software, we may use third-party tools, identified on our Sub-processors page, to record and analyze your session activity within the Software — such as clicks, navigation, and interactions — to diagnose issues, provide support, and improve the Software. The system is designed to mask sensitive text inputs in these recordings. This is separate from the website analytics described below, is not used for advertising, and is not sold or shared with third parties.
2. How We Use Your Information
We use the information we collect to:
- Create and manage your account
- Provide, operate, and support the Services, including processing Migration Data as you or your NetSuite implementation partner direct
- Process payments
- Respond to inquiries submitted through our website
- Send service-related communications, such as account, billing, and security notices
- Send marketing communications, only if you’ve opted in — you can unsubscribe at any time
- Maintain the security of our Services and prevent fraud or abuse
- Comply with legal obligations
We do not use your information for any other purpose, and we do not build advertising profiles from it.
3. Migration Data
To provide the Services, SuiteMigration connects to the source and destination systems (including but not limited to NetSuite, QuickBooks, or Xero) that you or your NetSuite implementation partner authorize, and processes the business data needed to audit your source system and to complete a full migration from it (“Migration Data”). We retrieve that data comprehensively, whether or not you go on to migrate all of it, because assessing what a migration would involve — and later reconciling one — requires the complete picture rather than a sample.
- You, or your organization, own your Migration Data. We process it solely to perform the migration and related Services you’ve requested.
- We do not use Migration Data for any purpose other than providing the Services — not for our own analytics, not for marketing, not for sale, and not to train AI or machine learning models. See “AI and Your Data” below.
- Migration Data remains available in your account until you delete the applicable Migration, or until we discontinue access to it or your Order Form terminates or expires, as described in our Terms of Service and Data Processing Agreement. When any of those occurs, we delete the associated Migration Data, subject to a limited period in backups, logs, or similar records and to any retention required by law. See “Data Retention.”
- The organization that holds the Workspace — often a NetSuite implementation consultancy working on behalf of its own client — controls which systems and credentials are connected and what is migrated. That organization is our customer, and our commitments under this Policy run to it. SuiteMigration processes Migration Data as a processor acting on that organization’s behalf and under its instructions, and that organization is the controller of it, as set out in our Data Processing Agreement. If your data is being migrated by a consultancy acting for you, your agreement is with that consultancy, and questions about what is being migrated are best directed to them.
4. AI and Your Data
The Software includes an optional, clearly-marked, click-to-use feature that generates AI-assisted field-mapping suggestions during a migration. It only runs when you choose to use it for a given mapping task, and it is processed through AWS-managed Amazon Bedrock, within our own AWS infrastructure — not a separate third-party AI vendor.
We do not use your personal information or Migration Data to train, fine-tune, or otherwise improve any artificial intelligence or machine learning model — whether operated by us or by a third party. Data sent for AI-assisted mapping is used only to generate output for you and is not retained by us or any AI provider for model training. See our Data Processing Agreement for more detail.
5. Cookies and Analytics
We do not use cookies, tracking pixels, or similar technologies for advertising, retargeting, or cross-site tracking, and we do not permit any third party to do so on our website. We do not sell or share your information with data brokers or ad networks.
For our public marketing website, we use Umami, a self-hosted, privacy-first, cookieless analytics platform that we operate ourselves. Umami tells us things like which pages are visited and how much overall traffic we get. Umami does not identify anonymous website visitors, does not track you across other websites, and is never shared with or sold to third parties. If you log in to the Software, we may associate site activity with your account to help us understand how visitors become customers — this is used only for our own internal purposes and is never shared with or sold to third parties. Separate in-product analytics and session recording tools used within the Software itself are described under “Information We Collect” above and listed on our Sub-processors page.
Because we don’t use cookies for tracking or advertising, we don’t run a cookie consent banner — there’s nothing on this site to consent to.
6. How We Share Information
We do not sell your personal information or Migration Data, and we do not share it with advertisers or data brokers. We share information only:
- With service providers who help us operate the Services, such as cloud hosting, payment processing, management of inquiries submitted through our website forms, transactional email, error monitoring, and product analytics and session recording. We engage them to process data as needed to provide their services, under written terms requiring data-protection obligations consistent with applicable law. See our Sub-processors page for the full current list.
- When required by law, subpoena, or court order
- To protect the rights, property, or safety of SuiteMigration, our customers, or others
- In connection with a merger, acquisition, or sale of assets — subject to this Policy’s commitments continuing to apply
7. Data Retention
How long we keep information depends on what it is and why we have it.
Migration Data. Remains available in your account until you delete the applicable Migration, or until we discontinue access to it or your Order Form terminates or expires, as described in Section 7.6 of our Terms of Service and Section 11 of our Data Processing Agreement. Where a Migration has not become subject to fees and no Order Form has been signed for it, we may delete its Migration Data after twelve months. When any of those occurs we delete the associated Migration Data, though it may persist for a limited period in backups, logs, or similar records, and where retention is required by law, before being fully purged.
Account and contact information. We keep this while you or your organization has a relationship with us, and afterward so that we can recognize returning customers and keep a record of who we have worked with. We do not delete it on a schedule.
Billing, transaction, and contract records. We keep invoices, payment records, Order Forms, and signed agreements on a long-term basis, because we need them for accounting, tax, and audit purposes and to establish or defend legal claims. We generally keep these after an account closes.
If you ask us to delete. Where you ask us to delete personal information we will do so, except where we need to keep it. We keep a record of your request itself, including your name and what you asked for, because we are required to be able to show how we handled it. We also keep information we need for accounting, tax, or audit purposes, to perform or enforce a contract, or to establish or defend a legal claim. This applies to your personal information — Migration Data follows the rules described above.
8. Security and Data Location
All Migration Data and personal information is stored in the United States, including on Amazon Web Services (AWS) infrastructure. See our Sub-processors page for the full list of service providers involved. We use industry-standard safeguards — including encryption in transit, access controls, and monitoring — designed to protect your information. No method of transmission or storage is 100% secure, but we do not store or replicate your data outside the US, and we do not feed it into any AI training pipeline.
9. Children’s Privacy
Our website and Services are intended for business use by adults and are not directed to children under the age of 18. We do not knowingly collect personal information directly from children through our website or account registration.
Some Migration Data our Customers provide may incidentally reference a minor — for example, a minor’s name appearing on an invoice, enrollment record, or similar business document (such as a daycare, school, or youth program’s records). That’s Customer Data controlled by our Customer, not information we’ve collected from a child, and we process it the same way we process all Migration Data: solely to perform the migration as directed, with no independent use. Customer is responsible for having an appropriate legal basis for any such information it includes in the data it provides to us.
If you believe a child has directly provided us personal information through our website (for example, via a contact form), contact us and we will take reasonable steps to delete it.
10. Your Privacy Rights
If you are a US resident, you may have rights under applicable state privacy laws to request access to, correction of, or deletion of your personal information, and to opt out of the sale or sharing of personal information for cross-context behavioral advertising. We do not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of — but we will still honor requests to access, correct, or delete your information, subject to the exceptions described under “Data Retention.” To exercise these rights, contact us at support@suitemigration.com.
We will not discriminate against you for exercising these rights.
11. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will update the date at the top of this page. Continued use of our website or Services after changes take effect constitutes acceptance of the updated Policy.
