30 sets of QuickBooks books. One NetSuite instance. No spreadsheet marathon.
Vista Partners moved a venture capital client's 30+ investment entities from QuickBooks Online into a single NetSuite instance with SuiteMigration — mid-project team handover and all.
Hands down, if you're going to do QuickBooks to NetSuite, that's the tool to use. I'm not aware of anything in the market that can accomplish what SuiteMigration is doing.
The challenge: the old way, times 30
Vista Partners had just onboarded a venture capital firm with more than 30 investment entities. Every entity sat in its own QuickBooks Online file, which meant there was no single place to see the fund’s position.
“This fund handles about 30 entities and these were all being tracked separately in QuickBooks,” says Camila Antivilo, the firm’s controller. “We wanted to have greater visibility, so we chose to move it into NetSuite so that all of these entities could be tracked in the same instance.”
Founder and CEO Chace Jones had run one QuickBooks to NetSuite migration before, moving a 16-entity company across. He knew the reporting NetSuite would give this client was worth the move. He also knew what the move itself cost.
“The old way was pretty manual. We just export files from QuickBooks, review them, make sure everything was good, and then import them. There was a lot of manual work that went into getting the data in, and then checking the balances.”
The checking loop was the part that did not scale: download a report from NetSuite, compare it to QuickBooks, find a discrepancy, work out what caused it, delete the data, pull it again — and repeat for every record type. That is the standard every NetSuite migration still starts from, and it is the reason migrations get quoted in months. Vista Partners was looking at it thirty times over.

A four-month-old hire took the project over — and shipped it
Chace heard about SuiteMigration from a friend who had come across the company at a conference. Most of the mapping and NetSuite setup was finished before Camila joined the firm. Four months in, she inherited the project. “My role was basically taking this project through the finish line — actually bringing the data from QuickBooks into NetSuite, and doing that data validation.”
That handover is worth dwelling on, because it is the scenario most migration projects dread: the person holding the context leaves partway through. Chace saw it as a test of both the tool and the hire.
“She really owned learning how to use the tool. She knew the tool extremely well and could move around quickly. It speaks to her ability, and it also speaks to SuiteMigration’s ability to be a user-friendly tool — easier to learn and to navigate.”
When the process lives in a structured tool rather than in one senior person’s spreadsheet, a capable new hire can pick it up and finish the job. Continuity stops depending on who is still in the building.
The solution: validation, bulk mapping, and a clean slate
Validation reporting the team could trust
Camila did not take the tool’s word for it. She exported the QuickBooks data and ran her own comparison against NetSuite first. “I essentially had to do the check on my own just to make sure it worked how it was supposed to.”
It held up. “I didn’t find an instance where those data validation reports were inaccurate.” That mattered again later, outside the migration itself: “It was really helpful to have confidence in that when I had to go back and check figures for tax purposes.”
Account mapping uploaded in bulk
The mapping between QuickBooks and NetSuite accounts was not coming through the way Vista Partners wanted. Rather than fix it entity by entity, the SuiteMigration team showed Camila how to upload the mapping in bulk.
“That was a huge time saver. Otherwise, if I was manually having to map the accounts for each of the 30 entities, that was also going to be taking a long time.”
A clean slate on demand
Partway through, the team found problems with data that had already landed in NetSuite. Anyone who has done a migration knows what that usually means: a manual unpicking exercise, or living with a compromised instance.
“You built a feature on the fly that made it so we could clear out everything in NetSuite and start fresh,” Chace says. “That was huge. When you do data migration projects, that’s always a main concern — once data is in there, how do you make sure it stays clean?”

The impact
Hours, plural, in the tens
Asked to quantify it, Camila would not put a single number on it, but she was clear about the order of magnitude. “Just a lot of hours, several tens of hours. Using SuiteMigration definitely saved many hours of manual work that normally is done to do these kinds of data validation checks.”
A partner, not just software
The first roadblock was not a migration problem at all — it was NetSuite permissions. “Being a little bit newer to NetSuite, it was really helpful to have someone from the team helping me diagnose my access to getting the tool to even start working.” The same held for a retained-earnings issue later, which was NetSuite behaviour rather than anything to do with SuiteMigration. “Even though that wasn’t a SuiteMigration issue, the team still helped us work through and solve that problem.”
Feedback that showed up in the product
“There were little things that had to do with layout, or status bars on the progression of seeing data actually being migrated, and it was helpful for them to take that into account. It made the process seem very collaborative.”
What happens next time
Vista Partners ran this migration on trial balance data. The thing Chace keeps coming back to is what the GL-level capability means for the next project. “With the GL level capabilities, it’s like you’re basically taking QuickBooks and sticking it in NetSuite without losing anything. Which is pretty remarkable.”
Both of them landed in the same place on whether they would do it again. “If we had a customer come to us wanting to switch over from their ERP into NetSuite, I would definitely recommend using SuiteMigration,” Camila says.

The migration can be cleared and re-run. SuiteMigration can wipe the migrated data from NetSuite so the load starts from a clean state — which is what let Vista Partners iterate on their chart of accounts mid-project instead of unpicking records by hand.
How long does a multi-entity QuickBooks to NetSuite migration take?
It depends on entity count, data level, and how much cleanup the source books need. Vista Partners estimated that SuiteMigration removed several tens of hours of manual validation work compared with doing the same migration by hand.
Do you need to migrate GL-level detail, or is trial balance enough?
Both are supported. Vista Partners migrated trial balance data on this project. GL-level migration preserves transaction detail in NetSuite rather than opening balances alone.
